Rental Policy:
Fun Family Rentals is
a locally owned family business located on the Isle of Palms. We
are owners of several vacation home rentals and have been
booking our own rentals for several years now. We often out book
the local management companies. What makes our management
company stand apart from other local management companies is
that we place our emphasis on the homeowner’s best interest
verses the renter’s. After
several years in the vacation rental business and we are looking
to expand our home portfolio because we constantly have to turn
down vacation rental request due to lack of available homes.
We receive on average, 10 email requests per day for
booking inquires that we have already booked on our current home
Inventory. Currently, we must turn down these inquires, but
would like to have the opportunity to divert these inquires to
help book your vacation rental property. Once your advertisement
has been implemented we should receive approximately four to
five inquires per day on average. While owning other successful
businesses that require an eye for quality and performance, we
have been successful in renting our and other people’s homes
with minimal issues or problems. For our tenant and owners we
will offer a 24 hr. 7-day a week live person response to deal
with any issues that may arise at your vacation home. We will be
backed by several other local businesses to ensure the tenant’s
stay is comfortable. Unless a specific company is requested then
the following list of these companies are for default services:

can maintenance)

These companies have
agreed to service our properties on a 24/7 basis. This allows us
to solve any issues that may arise during a tenant’s stay.
With 20 years of background in the construction industry,
we know who the local companies are that can perform to meet the
standards we need.
Property Promotion:
Our idea of
property promotion is to list all of our available vacation
homes on the leading internet websites. If you are on the
internet and type in a search for vacation home rentals on the
Isle of Palms or Sullivan’s Island,
your home should be represented within the first 5 search engine
results for that inquiry. It is our job to place you in the
upper results category and to list your home on multiple
websites for maximum exposure.
In addition, when we receive an inquiry on a home that is
already booked we would recommend one of the similar available
homes within our property management group. We are also in
knowledge of other techniques to increase your search ranking on
the internet when potential clients are searching for a vacation
rental home.

Property Management Procedures:
It is our
intent to manage and maintain this business through the use of
24/7 telephone access and internet capabilities. Upon a rental
request, we will provide a registration form as seen attached at
the end of this packet. It consists of the owner’s name,
address, telephone number and credit card payment information.
Credit cards help verify the tenant’s identity and will be used
as a deposit to ensure compliance with the rules and to cover
any damages with the property. We also ask for a list of the
names and ages of the tenants that will be staying within the
home. The form
offers traveler’s insurance and any additional specific options
needed for your home.
We prefer the use of electronic use entry locks verses
door keys. Thus, the potential renters are provided with an
entry code. This allows them to check in late and not have to
worry about losing keys to the home. It also allows quick access
for maintenance personnel should the need arise. During
occupancy we do a drive by inspection. After tenants check out
we do an inspection of the property during the cleaning process-
noting and photographing any potential damage or loss. Over the
years we have learned that very little damage happens to these
homes, but we keep their credit cards as a deposit for the few
cases when this happens.

Liability Protection:
We also
include a liability release form worded towards the protection
of the homeowner and his/her financial well being. Through our
experience with the vacation rentals, we have found that renters
can be irresponsible with their actions. Although, a release of
liability is not 100% protection we feel that it is an important
part of any defense of a liability claim against a property
owner. We also believe in upgrading the home to have adequate
defense against liability claims. Some examples of upgrades
include: posting of the Isle of Palms vacation rental rules and
ordnances, a note on the trash can area stating: do not move
trash cans to curb as a service company will do it for you (as
you know the Isle of Palms is really cracking down on the trash
can ordinance), a sign on the outdoor porches noting the noise
ordnances of 10:00pm, a fire extinguisher in the kitchen &
grilling areas, and a swimming pool rules board posted next to
pool.
Property Surveillance:
To ensure property
cleanliness & protection we guarantee at least one site visit to
inspect that tenants are complying with the rules described in
our agreement. Thru the use of blackberries we will send at
least one photo by email to you from the blackberry phone to
maintain your confidence that the drive by inspection of your
home while being occupied by tenants was done. We have the
ability (on an as needed basis) to document the house after
tenants checkout with the
use of a a high definition video camera to ensure that house is
being kept to the standards that you expect. And document any
problems or missing Items. These disks will be available for
your review when necessary.

24/7 Tenant or Owner access to Management:
FFR will have 24 hour response to our tenants or owners needs,
through the use of blackberries we can provide email or phone
answering service for any potential problem that arises during
our guest stay or special request from the owners. We currently
provide this access to our existing businesses and those of you
that tried to call on off hours have been surprised to have a
live person answer the phone. This helps ensure that the tenant
has a place to vent any problems that may arise and our
business’ listed above have agreed to the same24/7 response.
This will allow us to quickly resolve any conflicts that may
arise. It also increases bookings as 50% of tenants seem to
search for homes after work and on weekends in different time
zones.
Accounting and Booking Schedule:
At the
beginning of each month the owner will receive a booking and
expense report that will outline the bookings for the upcoming
season, rental amount for each stay, as well as income and
expenses to date. Your bookings will be available for you to see
on- line by a calendar linked to your property. Bookings will
not include the accommodations taxes and property management
and booking fee’s that will be added to the tenant’s
bill, but such taxes will be paid on the due date for the owner.
Property User Manual:
A user manual will be developed for each property. This manual will have home
use information with pictures to illustrate items as needed. This will help to
familiarize tenants with the property and potentially cut down on maintenance
and telephone calls from the tenants. These sometimes take awhile to develop as
each property is unique, but we find them to be useful tools for the tenants.
The user manual will also include contact numbers for emergency, hurricane
evacuation, disaster plan, and a list of local attractions, restaurants and
sites for tenants to visit during their
stay. We also enjoy the use of a guest log for tenants to leave their comments
in. This log will sometimes give us insight into potential problems,
frustrations, or other such glitches with the property. We have learned great
information from these comment books over the years.
Conclusion:
Through the years of working with
vacation properties we have learned the do’s and don’t of how to
deal with tenants and property owners. We feel that our
experience will give you confidence and profitability in your
vacation home renting experience.
